Privacy policy
Last updated: 14 October 2026. This policy explains how K9PN collects and uses personal data on k9pn.co.uk: when you ask for a dog trainer, when you are a dog trainer who contacts us, books a call or buys our services, and when you simply visit the site.
Who we are
K9PN is run by K9 Professional Network Inc. (“K9PN”, “we”, “us”), a company based in the United States. We are the controller of the personal data described here. K9PN is a referral service and a provider of websites and software for dog trainers. We do not train dogs.
Contact for anything about your data: mike@k9pn.com.
The personal data we collect
If you are a dog owner asking for a trainer
Your name, phone number, email address, full postcode, your dog’s name, breed and age, the kind of help you want, any notes you write, the page you used, the date and time, and whether you ticked the consent box. We use your postcode to find a trainer who covers your area.
If you are a dog trainer or business
Your name, business name, email address, phone number, the area you cover, the services you offer, details you give us when you book a call or fill in a form, and records of our conversations and any services you buy from us.
If you visit the site
Technical data such as your IP address, browser type and the pages requested, which our hosting provider logs to deliver and secure the site.
We do not knowingly collect data from anyone under 18. Please do not use our forms if you are under 18.
Why we use it, and our lawful basis
| Purpose | Data | Lawful basis |
|---|---|---|
| Passing your request to a trainer who covers your area so they can contact you by phone, text or email | Dog owner data | Your consent (the box you tick on the form) and our legitimate interest in running the referral service |
| Replying to enquiries, booking and holding calls, setting up and supporting services for trainers | Trainer and business data | Contract (or steps before a contract) and legitimate interests |
| Telling trainers about our services by email or text | Trainer and business data | Legitimate interests for business contacts, or your consent where the law requires it. You can opt out at any time |
| Running, securing and improving the site, keeping records and preventing misuse | Technical data and request records | Legitimate interests |
| Meeting legal, tax and accounting duties | Records of transactions | Legal obligation |
Where we rely on consent you can withdraw it at any time by emailing us. Withdrawing does not affect anything we did before. Where we rely on legitimate interests you can object (see your rights below).
Who we share it with
Trainers. If you send a dog owner request, we share it with the professional trainer matched to your area so they can contact you. Trainers pay K9PN for referrals; we do not sell your details to anyone else, and trainers receive only the request you sent. Each trainer then handles your data under their own privacy policy.
Service providers (processors) that handle data on our behalf:
- GoHighLevel: forms, contact records, bookings, messages and our CRM
- n8n: automation that moves form submissions between our systems
- Supabase: database where request records are stored
- Slack: internal alerts when a request arrives
- Vercel: website hosting
We may also share data where the law requires it, or with professional advisers (for example accountants or lawyers) under a duty of confidence. If our business is sold or merged, data may transfer to the new owner under the same protections.
Transfers outside the UK
K9PN and several of our providers are based in, or process data in, the United States. Where personal data leaves the UK we rely on an adequacy arrangement (for example the UK–US data bridge for providers certified under it) or on the UK International Data Transfer Addendum with the provider, so your data stays protected to UK standards. Ask us if you would like details of the safeguard used for a particular provider.
How long we keep it
| Data | Kept for |
|---|---|
| Dog owner requests | Up to 24 months from the request, then deleted or anonymised |
| Trainer and business enquiries and customer records | For as long as we work together, then up to 6 years for tax and accounting records |
| Technical logs | Short rolling periods set by our hosting provider |
We delete data sooner if you ask, unless the law requires us to keep it. A trainer you are matched with keeps their own copy under their own retention rules.
Your rights
Under UK data protection law you can ask us to:
- give you a copy of your personal data and details of how we use it
- correct data that is wrong or incomplete
- delete your data
- restrict how we use it
- object to our use of it, including for direct marketing, which we will always stop
- give you your data in a portable format, where it applies
- withdraw consent at any time
Email mike@k9pn.com. We will reply within one month and will not charge a fee unless a request is clearly unfounded or excessive. We may need to confirm your identity first. We do not make decisions about you using solely automated processing that have legal or similarly significant effects.
Marketing messages
We only send marketing emails or texts to individuals who have consented, or to business contacts where the law allows it, and every message tells you how to opt out. Referral phone calls, texts and emails to a dog owner are sent by the matched trainer in response to your request.
Cookies and similar technologies
We do not use advertising cookies and do not run third-party analytics on this site. Our request form, booking calendar and some pages load content from GoHighLevel and, on some pages, fonts from Google Fonts. These providers receive your IP address and may set cookies or similar technologies that are strictly necessary for the form, booking or page to work. If we add analytics or advertising tools in future, we will ask for your consent first and update this policy.
Security
We use access controls, encrypted connections and reputable providers to protect your data. No system is completely secure, and if a breach is likely to put you at risk we will tell you and the Information Commissioner’s Office as the law requires.
Complaints
Please contact us first so we can try to put things right. You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes to this policy
We may update this policy. The date at the top shows when it last changed, and we will highlight significant changes on this page.
