Missed-Call Text Back for UK Dog Trainers

An instant text to the caller you could not answer, how to set it up and how to keep it compliant.

Missed-call text back is an automatic text sent to a caller you could not answer, so they get a reply within seconds instead of ringing the next trainer. For a dog trainer who spends the day with a dog on a lead, it is one of the simplest automations to set up and one of the most useful.

Why does a missed call cost a trainer enquiries?

Owners with a dog problem often contact more than one trainer, and the first to reply usually gets the conversation. Calls arrive in the middle of a session, in a field or while you are handling a dog that should not be distracted. Most callers will not leave a voicemail, and many will not ring back. A text that arrives within moments keeps the enquiry with you.

How does missed-call text back work?

When a call to your business number goes unanswered, the system sends a text to the caller's number from that same business number. If the caller replies, the message lands in your inbox with their name or number attached, and you pick up the conversation when you are free. It is one of the automations in a GoHighLevel setup for dog trainers.

What should the text say?

Keep it short, personal and useful. It should say who you are, that you are with a dog right now and what the caller should do next. Two examples:

  • Hi, this is Sam at Riverside Dog Training. Sorry I missed your call, I am with a client's dog. What is your dog's name and what would you like help with? I will reply as soon as I am free.
  • Thanks for calling. I am out of the office until 5pm. Reply here with your dog's name and the main problem and I will get back to you this evening.

Ask one question, so replying is easy. Do not paste a long list of services or a sales pitch into it.

How do you set it up?

  1. Use a business number the text can come from, so replies reach your inbox rather than a personal phone.
  2. Turn on the trigger for calls that are missed or go to voicemail.
  3. Write one message for opening hours and, if you like, a different one for evenings and weekends.
  4. Exclude numbers you do not want to text, such as existing clients you would rather call back yourself.
  5. Make sure replies create a conversation in your inbox and notify you.
  6. Test it from a second phone, then ring at different times of day to check the right message goes out.

Is a missed-call text compliant in the UK?

Take care that the text is a service reply to the person who just contacted you, not a marketing message. Under UK GDPR and PECR, marketing texts and emails generally need consent and an easy way to opt out. A short reply to someone who has just rung you about a service is a different thing, but only if it stays that way. Do not slip in offers, discounts or promotional links.

  • Say who you are and what the message is about.
  • Keep it to answering their call and asking what they need.
  • Tell people how to stop further messages, and respect it at once.
  • Mention in your privacy notice that you may text callers, and how you use their number.
  • If the caller later joins a marketing list, get proper consent first.

This is general information, not legal advice. Check the current ICO guidance on PECR.

What mistakes should you avoid?

  • Texting existing clients as if they were new. A client mid-programme who rings should get a different message, or none, and a call back from you.
  • A message that sounds like a company. "Your call is important to us" tells the caller nothing. Write it as you would send it from your own phone.
  • Promising a time you cannot keep. If you say you will reply within the hour, make sure someone does. "As soon as I am free" is safer.
  • Never checking the replies. The text only helps if someone reads the answer. Turn on notifications and check the inbox at set times each day.
  • Forgetting holidays. Change the message when you are away, and say when you will be back.

A missed-call text is a first step, not the whole conversation. What matters is what happens once the caller replies, and whether they get a proper answer the same day.

What are the limits?

Texts only reach mobile numbers, so a call from a landline gets no reply. Withheld numbers cannot be texted. Some callers will not answer a text, and some will have rung the wrong number. It also does not replace picking up when you can, or ringing back. Use it as a safety net, then follow up properly with an enquiry follow-up sequence.

Common questions

What is missed-call text back?

It is an automatic text sent to a caller you could not answer. The caller gets a reply within seconds, and if they respond it lands in your inbox so you can pick up the conversation.

Is missed-call text back legal in the UK?

It can be, if the text is a genuine service reply to the person who just contacted you and not marketing. UK GDPR and PECR still apply, so keep it simple, say who you are, honour opt-outs and check the current ICO guidance.

Does it work for landline callers?

No. A text can only reach a mobile number, so landline callers and withheld numbers will not receive it.

Should the text offer a discount or promotion?

No. Promotional content turns a service reply into marketing, which generally needs consent. Keep it to answering their call and asking what help they need.
